Suitcasing & Outboarding Clause *

"Suitcasing" and "outboarding" are unethical parasitic business practices in which non-exhibitors and non-sponsors attempt to gain access to conference attendees. "Suitcasing" refers to those non-participating companies or persons who go to conferences as an attendee but "work the aisles" from their suitcase (briefcase) and solicit business in the aisles or lobby area by unapproved leafletting, unapproved membership recruitment, and other commercial activity. "Outboarding" refers to non-participating companies that set up meetings and demos at off-sit locations - hotel hospitality suites, restaurants, etc.- and encourage show attendees to leave the conference and show floor to spend time with them. If an attendee is caught suitcasing or outboarding they will be asked to leave the conference and will not be refunded. By registering for this event, you acknowledge and agree to these terms and conditions.

By registering for or participating in a CHBC meeting or event, whether virtual or in person, you acknowledge that photography, audio recording, and video recording may occur.

Your participation constitutes consent to the recording, use, and publication of your image, likeness, voice, name, and statements in any medium for purposes including, but not limited to, newsletters, websites, social media, marketing materials, educational content, and promotion of current or future programs and events. For presenters, this consent includes presentation content and materials shared during the event, unless otherwise agreed to in writing.

You hereby release and hold harmless CHBC, its board members, officers, volunteers, representatives, and affiliates from any and all claims, demands, or liability arising out of or related to the capture, use, or distribution of these recordings or images.

You waive any right to inspect or approve the finished materials and any claims to compensation, royalties, or other payment arising from their use, regardless of whether a fee is charged for participation or sponsorship.

If you do not wish to be recorded, you are responsible for taking reasonable steps to limit your participation in recorded portions of the event, such as disabling your camera or microphone during virtual events or notifying event staff during in-person events.
